Budget owners are created by Divvy admins to manage funds, members, and virtual cards within budgets. If you have been assigned as a budget owner in Divvy for your company, it’s important to understand how budgets work and what you are able to do with the users, cards, and transactions associated with your assigned budget. This article describes some of the most common items you will encounter as a budget owner in Divvy.

View & Manage Budgets

All spending in Divvy takes place in budgets. While overall budget limits and settings are managed by administrators, you can still manage certain aspects for how spending occurs within your budget.

To find all budgets where you are assigned in a web browser, click the Budgets link in the Divvy Navigation Menu [1]. Then click the Owner budgets link [2].

To open a specific budget, click the name of the budget [3].

When viewing a budget on a web browser, the budget opens to the Budget Snapshot page. From the Budget Snapshot, you can view fund information for the entire budget and for individual budget members. To learn more about the Budget Snapshot, view our Budgets Overview article.

To find your budgets in the Divvy mobile app, tap the Budgets icon in the Navigation bar [1]. Then tap the name of the budget you want to view [2].

Note: If the Budgets icon does not display in the Navigation bar, you may need to tap the More icon first.

Viewing a budget from the Divvy mobile app displays a similar Budget Snapshot. This snapshot displays spend limits for each member and card in your budget [1], as well as budget transactions [2] and reimbursements [3]. To view additional details about budget funds, tap the Expand icon [4]. To open the Options menu for the budget, tap the Options icon [5]. Swipe the screen left or right to the next or previous budget periods.

Add Budget Members

Your budget may already include budget members and/or additional budget owners. Depending on settings managed by your Divvy admin, budget members can either spend specifically from funds assigned to them or spend from all available budget funds. As a budget owner, you can add users to your budgets so they can spend from budget funds.

To add users from a web browser, click the Edit link on the Budget Snapshot page.

To add users from the Divvy mobile app, tap the Options icon from the budget page [1]. Then tap the Add an owner link [2] or Add a member link [3].

Create Vendor Cards

In addition to budget members, your budget can also include virtual vendor cards. Vendor card transactions can use any available funds that have been allocated to the budget they are created from. They can be assigned to any budget member and are visible to any members of that budget. Their spend limit can either be capped at the amount of available funds in a budget or capped at a specific number set when the card is created.

In a web browser, you can create a new vendor card from the Budget Snapshot page by clicking the Create Card button [1]. To view all cards in your budget, click the Vendor Cards button [2].

You can also create virtual cards from the Divvy mobile app by clicking the Add icon [1] and then selecting the Add New Virtual Card option [2]. Make sure to select your budget and the Vendor Card card type.

Edit or Send Funds

Once users are added to your budget, you can easily edit the funds assigned to any budget member or card on a recurring basis or solely for the current budget period.

If you are viewing your budget from a web browser, you can view the assigned funds for the budget period in the Assigned column [1]. TO quickly edit assigned funds for the current period, click the Assigned field for the member or card, enter the amount [2], and click the Save Changes button [3].

You can also edit funds in a web browser by clicking the Edit Funds button in the Budget Snapshot. After you click the Edit Funds button, you can edit funds on a recurring basis or for the current period only for a single user or multiple users at the same time.

From the mobile app, you can edit funds by tapping the name of a member or card [1] and tapping the Edit Funds link [2]. Similar to a web browser, you can edit funds on a recurring basis or for the current period only.

Additionally, you can send funds to budget members. When sending funds, you can select the amount of budget funds to send to an individual user or multiple users. To send funds from the Budget Snapshot on a web browser, click the Send Funds button.

Editing funds and sending funds can be used to manage how funds are spent in a budget. When editing funds, you enter a new spend limit for either the current budget period only or for a recurring basis. When sending funds, you enter an amount that is added to the amount a budget member has available to spend for the current budget period. You can edit funds for cards and budget members; you can only send funds to budget members. Sending funds is a one-time addition to assigned funds for the current budget period. Editing funds can be done for the current budget period or on a recurring basis.

View & Manage Transactions

Divvy makes it easy for you to view and manage any transactions associated with your budget. From the Budget Snapshot on web or mobile, you can view transactions associated with that individual budget by selecting the Transactions tab on web or mobile [1]. From the Transaction tab, click or tap the name of a transaction to view or edit it [2].

From a web browser, you can also view all transactions for your budgets by clicking the Transactions link in the Divvy Navigation Menu [1]. To filter what displays on the page, click the Add filter link [2].

You can also view all transactions associated with your budgets in the mobile app. Tap the More icon [1] and then select the Transactions link [2].

Approve or Deny Transactions

If required by your company, you may also need to approve transactions made within the budgets you own. From a web browser, you can quickly see which transactions require your approval by using the Budget Approval filter.

Once the filter is applied, you can approve or deny transactions one at a time or in bulk. The Divvy mobile app doesn’t include the Budget approval filter, but you can still use the app to approve or deny transactions individually or in bulk. Learn how to approve or deny transactions in Divvy.

Note: You cannot approve pending transactions.

View Budget Insights

Budget members can also view Insights about their budgets from the Dashboard [1]. To view your Budget Insights, find the Spend Summary section of your Dashboard [2].

Your Budget Insights can be filtered by the current month, current year, last 12 months, or all time by clicking the Filter button [3]. Insights data includes the total number spent and transactions [4], a graph of spend totals that can be compared to the previous period [5], and a table of spend data for budgets, merchants, spenders, or custom fields [6].
